Receptionist/Administrative Assistant – Full time
Uplands Counseling Associates, Inc. (UCA) is a busy private practice mental health clinic seeking a full-time Receptionist/Administrative Assistant to support our thriving clinic!
Ideal candidates will enjoy using their welcoming professional demeanor, and ability to organize time and information to make a difference in others’ mental health. As a first point of contact for those seeking therapy services, our administrative staff are crucial in ensuring clients feel respected, supported, and well-informed throughout their clinic experience with us.
Comfort and skill with professional phone etiquette is a must. Excellent interpersonal and communication skills (written, verbal and listening), a high school diploma/GED, and passing a background check are also essential. Successful applicants will demonstrate attention to detail, excellent time management, experience with multi-line phone systems, email, Microsoft Office, and general computer skills. Additional experience with patient scheduling and billing/payment-taking software systems is valued, but not required.
Candidates will exhibit discretion and professionalism in a confidential, HIPAA-compliant office setting.
Office/administrative experience is appreciated, but not necessary. We are mainly seeking a great candidate who has demonstrated the ability to be:

- Comfortable making and receiving phone calls
- Conscientious – having integrity/honesty and attention to detail in their work
- Curious and willing to learn
- Warm, but professional with clients and colleagues
- Interested in learning about the mental health care process, and how to respectfully support those looking for services to get from first call for information to first appointment with a therapist
Duties include:
- Collaborate with, and receive supervision from UCA Shareholders, Business Manager, and Lead Administrative Assistant
- Follow HIPAA requirements for confidentiality and privacy of clients’ information
- Field initial inquiries for therapy services via phone and email, using guidelines and training to match incoming clients to therapists
- Send and track initial paperwork for new clients
- File, fax, copy, mail, scan, and upload documents
- Reception duties including greeting clients, completing check-in/check-out, handling mail, answering phones, & responding to voicemail/email messages
- Communicate with clinicians about schedule changes, billing and insurance matters
- Accept, document, and post payments using an EHR billing/payment software
- Assist with confirming insurance information
- Work on special projects as assigned (e.g. organization of documents or office materials, assistance with editing and updating forms)
Please note: While this is a full time position, which includes PTO , paid Holidays, and an IRA plan, our business is unable to offer health insurance as a benefit at this time.
